Help Us Capture the Summit

VOCES Health Summit 2026 is looking for volunteers to help capture and share the people, conversations, activities, and moments that make the Summit special.

We’re looking for people who enjoy noticing what’s happening around them and can help us document the event in a clear, thoughtful, and consistent way.

Media Team Roles

During sign up, you can confirm whether you’re most interested in Event Photography, Social Media, or both.

Event Photography

Photography volunteers will help capture the people and moments happening across the Summit.

You may photograph:

• Speakers and panel discussions
• Attendees participating in sessions
• Exhibitors and vendors
• Networking and community interactions
• Wide shots of event spaces
• Signage, displays, and event details
• Candid moments throughout the day
• Specific sessions or activities we want to make sure are documented

We want photos that feel natural and help tell the story of the Summit, the people, the conversations, the energy, and the moments happening throughout the day.

Social Media

Social media volunteers will help us capture content that can be shared throughout the Summit and afterward.

You may help collect:

• Short vertical video clips
• Photos for social media
• Behind-the-scenes moments
• Speaker or attendee reactions
• Quotes or short testimonials
• Exhibitor and community partner highlights
• Content for Stories, Reels, and other Summit updates
• Moments that may be worth sharing with the broader VOCES community

Some volunteers may focus on gathering content for the communications team rather than publishing directly to VOCES accounts.

What to Expect

We’ll provide guidance on what we’d like captured throughout the day, including key sessions, activities, people, and moments we don’t want to miss.

Depending on your assignment, you may move between different areas of the Summit or help cover a particular session, activity, or part of the venue.

We’re looking for volunteers who are comfortable:

• Working from a simple shot list or content plan
• Moving around the event as needed
• Paying attention to what’s happening around them
• Working independently while staying in touch with the VOCES team
• Being respectful of attendees, speakers, and ongoing sessions
• Sharing photos and content in a timely and organized way

You don’t need to be a professional. Reliability, good judgment, and a willingness to follow the plan matter much more.

Equipment

Volunteers may use a smartphone, DSLR, mirrorless camera, or camcorder depending on the assignment.
Professional equipment is not required.

When you sign up, we’ll ask what equipment you plan to use and what types of media work you feel most comfortable helping with.

Before the Summit

Media Team volunteers will receive the information they need before the event, including:

• A brief orientation or check-in
• Your general role or coverage area
• Sessions or activities you may be covering
• Shot lists or content priorities
• File upload or transfer instructions
• Event-day contact information

Plans may shift a little during the Summit depending on what is happening, and we’ll help keep everyone pointed in the right direction.

Communication

We’ll primarily use email for volunteer updates, schedules, assignments, and pre-event information.

As the Summit approaches and during the event, we may also use text messages or Whatsapp for time-sensitive updates, schedule changes, or day-of coordination.

Media Use

Photographs, videos, social media content, captions, and other media created during volunteer assignments may be used by Latinx Voces for current and future communications, promotions, and event materials.
